Location: London
Contract: 4–6 Month Fixed Term Contract (Potential to Become Permanent)
Start Date: Immediate start preferred
Supporting: Executive Committee (ExCo) members
About the Role
We're looking for an experienced Executive Assistant to support 2–3 members of QA's Executive Committee (ExCo), with the potential to move into a permanent position following an initial temporary period.
This is a busy, varied role supporting senior leaders with demanding schedules, competing priorities and frequent changes. You'll need to be comfortable managing complex diaries, coordinating international travel, organising executive meetings and events, and making sensible decisions when plans change.
We're looking for someone who can get up to speed quickly, understand how their executives like to work and confidently manage the day-to-day detail that allows them to focus on business priorities.
You'll be working with senior stakeholders across the business, so strong communication, discretion and the ability to manage expectations are essential.
What You'll Be Doing
Executive Support
- Manage complex diaries for 2–3 ExCo members, coordinating meetings across different teams, locations and time zones.
- Prioritise meeting requests, resolve scheduling conflicts and ensure executives have the information they need ahead of key commitments.
- Act as a point of contact for internal and external stakeholders, managing requests and communicating changes.
- Anticipate diary clashes, deadlines and logistical challenges, resolving issues wherever possible.
- Prepare and coordinate meeting materials, presentations, agendas and follow-up actions.
Travel & Events
- Arrange domestic and international travel, including flights, accommodation, transfers, visas and detailed itineraries.
- Manage last-minute travel changes and ensure executives have accurate, up-to-date arrangements.
- Organise executive meetings, leadership off-sites, conferences and company events.
- Coordinate venues, suppliers, catering, attendee communications and event logistics.
Administration & Finance
- Process purchase orders, expenses and corporate credit card reconciliations.
- Maintain accurate records and handle confidential business information appropriately.
- Support business projects and administrative activities as required.
- Provide cover for other Executive Assistants during periods of absence.
What We're Looking For
- Proven experience as an Executive Assistant or Personal Assistant supporting senior executives, ideally at ExCo or Board level.
- Experience managing multiple complex diaries and balancing competing demands from senior stakeholders.
- Confidence prioritising requests, managing expectations and making decisions within agreed boundaries.
- Strong organisational skills and excellent attention to detail.
- Experience arranging international travel and coordinating executive meetings or corporate events.
- Excellent written and verbal communication skills, with the confidence to work with stakeholders at all levels.
- A high level of discretion and sound judgement when handling confidential information.
- Strong Microsoft Office skills, particularly Outlook, PowerPoint, Excel and Word.
- Experience processing expenses, purchase orders and other finance administration.
- Ability to work independently, adapt quickly and remain organised when priorities change.
We’re particularly interested in candidates who are available immediately or at short notice and have experience stepping into busy executive support environments.
